The privacy statement of Stichting Vluchteling (hereinafter: “we” or “us”) may be amended from time to time. Visitors to our websites are advised to read our privacy statement periodically.
SCOPE
This privacy statement applies to all activities of Stichting Vluchteling. Stichting Vluchteling maintains the website vluchteling.nl.
PRIVACY STATEMENT
We consider the protection of the privacy of our former and current donors, volunteers, suppliers and employees to be important, and we therefore handle personal data with care. We do not process more data than is strictly necessary and treat it as strictly confidential. We process and protect personal data with the greatest possible care and ensure at all times that the way in which it is processed complies with the requirements of the General Data Protection Regulation (GDPR).
WHY DO WE PROCESS PERSONAL DATA?
We process personal data in order to properly carry out the services and tasks listed below. Processing takes place on the basis of consent, an agreement, a legal obligation or a legitimate interest.
- Carrying out our objectives, such as providing emergency aid to people in crises and informing the public about refugee crises worldwide as efficiently as possible.
- Entering into and performing agreements with donors, partners, campaigners and others.
- Processing and administering donations, gifts and pledges.
- Offering services, sending newsletters, promoting Stichting Vluchteling and carrying out fundraising objectives.
- Social media advertising options. To show you targeted posts or advertisements, we may use the options offered by social media platforms to advertise through them, such as Meta social media audiences. You can opt out of advertisements or change your preferences via the privacy settings of the relevant social media channel.
- Registering settings and preferences through cookies when using the websites.
- Complying with the legal obligation to keep records.
- Archiving data in connection with legal proceedings and for historical, statistical and scientific purposes.
- Informing the outside world about our activities and the results of projects, programmes and aid delivered.
- Collecting information for policy purposes and management reports.
- For all persons who work directly for us, whether as employees, self-employed workers, volunteers or otherwise, we apply a separate privacy statement, which is always provided to the person concerned. They may also request this statement directly from their manager.
CONSENT
Consent is always given freely, specifically, in an informed and unambiguous manner, through an active action. Examples include ticking a specific box yourself, clicking an agreement button, signing a form or sending a clear email. Verbal consent is also possible, but we always prefer consent that can be verified, either digitally or on paper. Asking for consent in advance during an interview or before taking a photograph and recording that consent is an example of verbal consent that Stichting Vluchteling occasionally uses, for example when this is more efficient or when the interviewee is illiterate.
WHAT PERSONAL DATA DO WE COLLECT?
We may record the following data of current and potential donors:
- name and address details
- gender
- date of birth
- telephone number
- email address
- bank account number (IBAN)
- interaction data, such as cookies or information from or about contact between you and Stichting Vluchteling
- where applicable, the donated amount and the date on which it was donated
- Emails sent to info@vluchteling.nl are automatically linked to your data and stored by our system if your email address is known to us. If you do not want this, please let us know. We will then delete the email after responding to it.
We receive personal data through contact with you, through a form you have used or through cooperation partners and other third parties, insofar as this is permitted by law.
HOW DO WE ENSURE SECURE PROCESSING OF PERSONAL DATA?
We process data in the following ways:
- Personal and financial data are stored in secure systems. Systems are protected, for example, with multi-factor authentication. Access to the various systems is also periodically checked and updated.
- Stichting Vluchteling only shares personal data with third parties in accordance with the provisions of this privacy statement, or where explicit consent has been given.
- Telemarketing agencies and direct dialogue agencies receive and/or process donors’ personal data on behalf of Stichting Vluchteling. Arrangements for the secure processing of these data are laid down in a data processing agreement.
- We do not rent out or sell your personal data to third parties.
- We retain personal data in accordance with the GDPR and no longer than is strictly necessary to achieve the purposes for which the data were collected, or longer where consent has been given.
- Stichting Vluchteling provides personal data to enforcement authorities or anti-fraud organisations when this is necessary or to comply with a legal obligation. In all other cases, prior consent will be requested.
HOW CAN STICHTING VLUCHTELING CONTACT YOU?
Via the following telephone numbers:
- 085 065 9746 – this telephone number is mainly used to confirm registrations or request additional information where necessary.
- 065 700 2053 – we mainly use this telephone number for fundraising purposes.
- 070 346 8946 – this is the general telephone number of our head office. We call you back using this number if you have been unable to reach us, and we sometimes also use it to request additional information when necessary.
- In addition, several employees have a personal mobile number. To safeguard privacy, we do not publish a list of these numbers online. These phones are intended solely for direct, personal communication with partners, for example, and are rarely used for fundraising purposes.
- Via email addresses ending in @vluchteling.nl. The general donor service email address is info@vluchteling.nl. There are also various other service email addresses, team email addresses and personal staff email addresses. These addresses always end in @vluchteling.nl.
HOW TO RECOGNISE OUR FUNDRAISERS
Stichting Vluchteling works with professional street and door-to-door fundraisers. They are always recognisable by a vest bearing our logo and carry a personal identification badge with their name and role.

Doubts or suspected misuse
Have you been approached by someone claiming to be a fundraiser for Stichting Vluchteling, but whose name is not listed on our overview page? You can always contact our head office on 070 346 8946 to verify this.
If your report may contain personal data, for example because you were approached or because your data were requested, you can also report this via privacy@vluchteling.nl. We will investigate this carefully and, where necessary, take measures to prevent misuse.
RIGHTS OF DATA SUBJECTS
Under the GDPR, everyone has a number of rights. If you wish to exercise your rights, please contact us via privacy@vluchteling.nl or by post at Laan van Nieuw Oost-Indië 131M, 2593 DM The Hague (the Netherlands). We will try to respond as soon as possible and will do so within 5 working days at the latest.
These rights include, but are not limited to, the following:
- Information, access and rectification
You have the right to access and amend your data. We are happy to help you with your request.
- Withdrawal of consent
After having previously given consent for processing, you may withdraw your consent at any time. This cannot be done retroactively, but will be processed within five working days after submission of the request, where possible sooner. You can withdraw consent by sending an email to privacy@vluchteling.nl with “withdrawal or change of consent” in the subject line. Partial withdrawal is also possible; please describe your request as clearly as possible in the email.
- Erasure / deletion
You also have the right to have your data deleted from our systems. Send us an email containing your request. We may still be required to process those data for other purposes, such as administration, legal obligations or deduplication.
- Objecting to processing
You may object to the processing of your personal data. If the processing is for fundraising purposes, we will process that objection as soon as possible and in any event within 5 working days.
We will inform you in writing as soon as possible, and in any event within four weeks, whether personal data have been processed and whether we can comply with the request for amendment or deletion. Where applicable, and provided this is possible and does not require disproportionate effort, the change to the data will also be passed on to relevant third parties. If we refuse a request for deletion, we will explain this in writing.
- Right to lodge a complaint with the Dutch Data Protection Authority
You always have the right to lodge a complaint with the Dutch Data Protection Authority if you believe that Stichting Vluchteling is not processing your data correctly under the GDPR, or is not handling your request properly.
RETENTION PERIOD FOR PERSONAL DATA
How long do we retain your data?
We retain your personal data no longer than necessary for the purposes for which we collect them. We apply the following retention periods:
- Financial data
To comply with our statutory administration obligation, we retain data relating to donations for up to 7 years after the last payment. - Contact and relationship data
Data that we use for relationship management are retained for a maximum of 3 years after the last contact moment, such as opening an email, participating in a campaign or another demonstrable contact moment, unless you ask us to delete them sooner. - Newsletter and updates
If you have given consent for this, we retain your data until you unsubscribe. You will find the unsubscribe link at the bottom of every newsletter.

TRANSFER OUTSIDE THE EUROPEAN UNION
We never transfer donor data to third parties outside the EU. For our target group, meaning recipients of emergency aid, this may of course occasionally occur, as we support projects all over the world. We have appropriate processes and agreements in place with implementing and other partners for this purpose. Our partners are also informed about the GDPR, and privacy statements are a standard part of our agreements.
WHICH COOKIES DO WE PLACE?

LINKS TO OTHER WEBSITES
Our websites may contain links to websites that do not belong to Stichting Vluchteling. We cannot accept responsibility for the way in which these external parties handle personal data.

SECURITY
Our website uses a secure protocol for data exchange. A secure website can be recognised by the ‘https://’ at the beginning of each web address. The personal data you provide via our web forms can therefore only be intercepted by others in an unreadable form.
All employees of Stichting Vluchteling who have access to personal data by virtue of their role are bound by a duty of confidentiality. This also applies to any external staff working on our behalf. We ensure that this security is maintained at all times. Employees are screened before recruitment and must provide a certificate of conduct before starting employment. Accounts that provide access to our various systems are periodically checked. Internally, work is carried out only within these digitally secure environments, and staff regularly receive training on digital security and the GDPR.
SHARE A COMPLAINT OR COMMENT?
We would like to be informed if there is a complaint about any of our activities. You can call us, write to us, send an email or contact us via our social media channels. Your complaint will be handled confidentially and personally. View our complaints procedure here (in English).
If, unexpectedly, a data breach occurs and this is likely to pose a risk to your rights or freedoms, we will always report this to the Dutch Data Protection Authority. Data subjects will be informed if this is required under the reporting obligation. We would also like to refer you to the Dutch Data Protection Authority. The Authority’s website contains extensive information about the GDPR, the duty to report data breaches and everything related to the lawful processing of personal data.
